The Operations Support Coordinator plays a critical role in supporting daily manufacturing, warehouse, transportation, and inventory operations within a specialty chemical company. This position is responsible for preparing and maintaining production and shipping documentation, supporting inventory control processes, coordinating transportation administration, and ensuring accurate recordkeeping across multiple facilities. The ideal candidate is highly organized, detail-oriented, and demonstrates a strong commitment to teamwork and operational excellence. On-site, 7am-3pm M-F and flexibility required based upon workload is a must.
Essential Duties & Responsibilities
Production & Inventory Administration
- Prepare and maintain batch reports and related production documentation.
- Process and maintain inventory transactions, including warehouse transfers, receipt transfers, and inventory adjustments.
- Assist with monthly inventory counts, cycle counts, reconciliations, and inventory reporting.
- Ensure accuracy and completeness of inventory records within company systems.
- Support inventory tracking across multiple warehouse locations, including remote warehouses.
Shipping & Logistics Documentation
· Generate Bills of Lading (BOLs), shipping documents, and related transportation paperwork.
- Track and maintain inbound and outbound shipment documentation, including:
- Bills of Lading (BOLs)
- Scale tickets
- Certificates of Analysis (COAs)
- Invoices
- Receiving documentation
- Coordinate and oversee the BOL process for remote warehouse operations.
- Verify shipping and receiving records for completeness and accuracy.
- Communicate with carriers, warehouse personnel, and internal departments regarding shipment status and documentation requirements.
Transportation & Payroll Documentation
· Provide administrative support for company trucking operations.
- Maintain driver records related to payroll processing, including:
- Hours worked
- Overtime calculations
- Per diem administration
- Additional compensation tracking
- Review and reconcile transportation-related documentation to ensure accurate payroll reporting.
- Assist in maintaining compliance with company policies and transportation recordkeeping requirements.
General Administrative Support
- Maintain organized electronic and physical filing systems.
- Prepare reports, spreadsheets, and operational summaries as needed.
- Support cross-functional teams including Operations, Manufacturing, Warehouse, Logistics, Customer Service, and Accounting.
- Assist with special projects and other administrative duties as assigned
Qualifications
Education & Experience
- High school diploma or GED required; Associate degree in Business Administration, Supply Chain, Logistics, Accounting, or related field preferred.
- Minimum of 2 years of administrative experience in a manufacturing, warehouse, transportation, logistics, or industrial environment preferred.
- Experience working with inventory management systems, ERP systems, or warehouse management software preferred.
- Experience processing shipping documentation, Bills of Lading, DOT, inventory transactions, and transportation records preferred.
Knowledge, Skills & Abilities
- Strong proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Ability to accurately manage large volumes of documentation and data entry.
- Strong mathematical and analytical skills with attention to detail.
- Excellent organizational, time management, and prioritization skills.
- Ability to identify discrepancies and resolve issues in a timely manner.
- Strong written and verbal communication skills.
- Ability to work independently while effectively collaborating with cross-functional teams.
- Ability to handle confidential information with discretion and professionalism.
- Comfortable working in a fast-paced manufacturing and warehouse environment with changing priorities.
- Knowledge of transportation, shipping, inventory control, and warehouse operations preferred.
- Familiarity with hazardous material shipping documentation and regulatory requirements is a plus.
