OFFICE ADMINISTRATOR

Job Description:

Join the Owner's Construction Management Team supporting the delivery of a utility-scale solar energy project. The Office Administrator / Document Control Coordinator serves as the central hub for project documentation, reporting, records management, and office administration. This position plays a critical role in ensuring project information is accurate, organized, and readily available throughout construction, financing, commissioning, and project closeout. The successful candidate will be highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced construction environment while maintaining a high level of professionalism.

DOE per hour (hourly, non-exempt)

Reports to:

Site Construction Manager

Preferred Background:

· Associate or bachelor’s degree.

· Minimum two (2) years of administrative, document control, or project coordination experience.

· Previous experience supporting construction, engineering, utilities, renewable energy, or industrial projects is strongly preferred.

· Experience working with multiple stakeholders in a dynamic project environment. Required Skills:

Job Responsibilities:

· Maintain project document control systems, filing structures, and document registers.

· Manage incoming and outgoing project correspondence, transmittals, and distribution lists.

· Maintain project records in accordance with company document control procedures.

· Coordinate project documentation between contractors, consultants, owners, and stakeholders.

· Maintain turnover documentation trackers and project closeout records.

· Support Independent Engineer (IE), lender, investor, tax equity, and Owner documentation requests.

· Assist with project reporting, meeting minutes, action item tracking, and distribution of project information.

· Coordinate document collection and review to support financing milestones, quality documentation, and turnover packages.

· Maintain project data rooms and electronic information repositories.

· Assist site management with scheduling meetings, preparing reports, and other administrative support as needed.

· Maintain confidentiality of project and company information.

· Perform other administrative duties as assigned.

Physical Requirements:

  • Ability to lift and carry up to 50 pounds, with or without reasonable accommodation.
  • Ability to stand, walk, kneel, bend, and reach for extended periods on construction jobsites.
  • Ability to traverse uneven terrain and work in varied weather conditions typical of outdoor construction environments.
  • Ability to distinguish color‑coded wiring where required for safety‑critical electrical work, with reasonable accommodation where feasible.
  • Ability to wear required PPE and comply with all site safety protocols.

Pay: $26.00 - $28.00 per hour
